Decide what counts as an asset
Not everything in a building needs its own record. The register should focus on maintainable, replaceable, inspectable, or risk-significant items. A large air-handling unit deserves a record. So does a fire pump, boiler, chiller, roof section, backflow preventer, elevator, generator, switchboard, security panel, critical valve, or specialty room system. A basic doorstop may not need one unless it belongs to a controlled environment or compliance-sensitive area.
A useful rule is to include an item when losing its history would make maintenance, inspection, budgeting, warranty, or risk decisions harder.
